This guide shows you how to create a desktop shortcut that opens the file directly in the Excel desktop app, with full editing and co-authoring support.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Before you start<\/h2>\n\n\n\n<p>Make sure you have:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Microsoft Excel installed on your computer (Microsoft 365 or Office 2016\/2019)<\/li>\n\n\n\n<li>Access to the shared SharePoint file \u2014 you should already be able to open it in your browseR<\/li>\n<\/ol>\n\n\n\n<p>This guide is for Windows. The shortcut approach works best when you have the Excel desktop app installed \u2014 not just Excel Online in the browser.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Step 1: Find your Excel installation path<\/h2>\n\n\n\n<p>Before creating the shortcut, confirm where Excel is installed on your machine.<\/p>\n\n\n\n<p>Locate EXCEL.EXE on your computer<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open <strong>File Explorer<\/strong>and navigate to:C:\\Program Files\\Microsoft Office\\root\\Office16\\<\/li>\n\n\n\n<li>Look for<strong> EXCEL.EXE<\/strong>in that folder.<\/li>\n\n\n\n<li>If it&#8217;s not there, try:C:\\Program Files (x86)\\Microsoft Office\\root\\Office16<\/li>\n<\/ol>\n\n\n\n<p>Alternatively, search for&nbsp;<strong>Excel<\/strong>&nbsp;in the Start menu, right-click it, and choose&nbsp;<em>Open file location<\/em>&nbsp;to find the exact path.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 2: Get the direct SharePoint file URL<\/h2>\n\n\n\n<p>This is the most important step. You need the&nbsp;<em>direct file path<\/em>&nbsp;\u2014 not a sharing link. Sharing links (which look like&nbsp;sharepoint.com\/:x:\/s\/&#8230;) don&#8217;t reliably open in Excel desktop and may open read-only.<\/p>\n\n\n\n<p>Open the file and copy its direct path<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the shared file in your browser using whatever link you were given.<\/li>\n\n\n\n<li>In Excel Online, click<strong>File<\/strong>in the top-left corner.<\/li>\n\n\n\n<li>At the bottom of the menu, click<strong>&#8220;Open in Desktop&#8221;<\/strong>to launch the file in the Excel desktop app.<\/li>\n\n\n\n<li>Once open in Excel desktop, click <strong>File \u2192 Info<\/strong>.<\/li>\n\n\n\n<li>You will see the SharePoint path listed at the top of the Info page. Click <strong>Copy Path<\/strong>.<\/li>\n<\/ol>\n\n\n\n<p>The path should look something like this:<\/p>\n\n\n\n<p><a href=\"https:\/\/yourcompany.sharepoint.com\/sites\/YourSite\/Shared%20Documents\/Folder\/YourFile.xlsx\">https:\/\/yourcompany.sharepoint.com\/sites\/YourSite\/Shared%20Documents\/Folder\/YourFile.xlsx<\/a><\/p>\n\n\n\n<p>If the path ends with&nbsp;<strong>?web=1<\/strong>, remove that part before using it in your shortcut. That parameter forces the file to open in the browser.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 3: Create the desktop shortcut<\/h2>\n\n\n\n<p>Build the shortcut with the Excel path and file URL<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Right-click an empty area of your<strong>Desktop<\/strong>.<\/li>\n\n\n\n<li>Choose<strong>New \u2192 Shortcut<\/strong>.<\/li>\n\n\n\n<li>In the location field, enter the following \u2014 replacing the URL with the one you copied in Step 2:<\/li>\n<\/ol>\n\n\n\n<p>&#8220;C:\\Program Files\\Microsoft Office\\root\\Office16\\EXCEL.EXE&#8221; &#8220;https:\/\/yourcompany.sharepoint.com\/sites\/YourSite\/Shared%20Documents\/Folder\/YourFile.xlsx&#8221;<\/p>\n\n\n\n<ol start=\"4\" class=\"wp-block-list\">\n<li>Click<strong>Next<\/strong>, give the shortcut a friendly name (e.g.<em>2026 Budget<\/em>), then click<strong>Finish<\/strong>.<\/li>\n<\/ol>\n\n\n\n<p><img decoding=\"async\" src=\"https:\/\/www.claudeusercontent.com\/shortcut-step2.jpeg\" alt=\"Create Shortcut dialog on the naming screen, ready to click Finish\"><\/p>\n\n\n\n<p>The second screen of the Create Shortcut wizard \u2014 give it a clear name and click Finish.<\/p>\n\n\n\n<p>Both the Excel path and the SharePoint URL must each be wrapped in their own set of quotation marks, with a space between them. Missing quotes are the most common cause of this not working.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 4: Test it<\/h2>\n\n\n\n<p>Double-click your new shortcut. Excel should launch and open the file directly \u2014 no browser, no &#8220;Open in Desktop App&#8221; prompt. The file should open in edit mode with AutoSave enabled in the top-left corner.<\/p>\n\n\n\n<p>If AutoSave is toggled on in the top-left of Excel, you&#8217;re in full co-authoring mode. Any colleagues who open the file at the same time will see your changes in real time.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Troubleshooting<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">The file opens as read-only<\/h3>\n\n\n\n<p>This usually means a sharing link was used instead of the direct file path. Go back to Step 2 and make sure you&#8217;re copying the path from&nbsp;<strong>File \u2192 Info<\/strong>&nbsp;inside the Excel desktop app \u2014 not from the browser address bar. If a yellow &#8220;Read-Only&#8221; banner appears, click&nbsp;<strong>Edit Workbook<\/strong>&nbsp;on that banner to unlock it for that session.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Excel can&#8217;t connect to the URL<\/h3>\n\n\n\n<p>The URL copied from the browser address bar may contain&nbsp;<strong>?web=1<\/strong>&nbsp;or be in a&nbsp;_layouts\/15\/Doc.aspx&nbsp;format \u2014 both are browser-only URLs that Excel cannot open directly. Use the path from&nbsp;<strong>File \u2192 Info<\/strong>&nbsp;inside Excel desktop instead.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">The file opens in the browser instead of Excel<\/h3>\n\n\n\n<p>Make sure both paths in the shortcut target are surrounded by their own quotation marks. A missing quote will cause Windows to misread the command and fall back to opening the URL in your default browser.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Excel isn&#8217;t at the Office16 path<\/h3>\n\n\n\n<p>Press\u00a0Win\u00a0+\u00a0<kbd>S<\/kbd>, type\u00a0<strong>Excel<\/strong>, right-click the result, and choose\u00a0<em>Open file location<\/em>\u00a0to find the exact path to EXCEL.EXE on your machine.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Co-authoring: working on the file with others<\/h2>\n\n\n\n<p>Once the file is stored on SharePoint and everyone opens it using the direct path (like the shortcut you just created), co-authoring happens automatically.
