{"id":1677,"date":"2025-10-27T04:23:54","date_gmt":"2025-10-27T04:23:54","guid":{"rendered":"https:\/\/www.ultrexstaff.com\/?p=1677"},"modified":"2025-10-27T04:23:54","modified_gmt":"2025-10-27T04:23:54","slug":"how-to-export-emails-from-microsoft-purview","status":"publish","type":"post","link":"https:\/\/www.ultrexstaff.com\/?p=1677","title":{"rendered":"How to export emails from Microsoft Purview"},"content":{"rendered":"\n<h1 class=\"wp-block-heading\">How to export emails from Microsoft Purview<\/h1>\n\n\n\n<p>Raised from ticket #2038<\/p>\n\n\n\n<p>If you need to export emails from a Microsoft 365 tenant using the Microsoft Purview compliance portal, follow these steps:<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Step 1: Assign eDiscovery Permissions<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Ensure your account has the necessary permissions by adding it to the eDiscovery Manager role group.<\/li>\n\n\n\n<li>In the Microsoft Purview compliance portal, navigate to\u00a0<strong>Permissions<\/strong>\u00a0>\u00a0<strong>Email &amp; collaboration roles<\/strong>\u00a0>\u00a0<strong>Roles<\/strong>, and select the eDiscovery Manager role group.<\/li>\n\n\n\n<li>Add your account to the eDiscovery Administrator list.\u00a0<strong>NOTE: You need to have Business Premium \/ Office E3 or higher to allow for actual eDiscovery exports.<\/strong><\/li>\n\n\n\n<li>Verify that the Export role is assigned to this role group.<\/li>\n\n\n\n<li>Note: Changes in permissions might take up to 24 hours to apply.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Step 2: Create a Content Search<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>In the compliance portal, go to\u00a0<strong>Content search<\/strong>\u00a0and select\u00a0<strong>New search<\/strong>.<\/li>\n\n\n\n<li>Provide a name and description for the search.<\/li>\n\n\n\n<li>Under\u00a0<strong>Locations<\/strong>, enable\u00a0<strong>Exchange mailboxes<\/strong>\u00a0and select the mailboxes you wish to export.<\/li>\n\n\n\n<li>To export all emails, leave the\u00a0<strong>Conditions<\/strong>\u00a0section empty.<\/li>\n\n\n\n<li>To export only a specific date range, add a Condition for &#8220;Received&#8221; and select before, after, or between certain dates<\/li>\n\n\n\n<li>Submit the search and wait for it to complete.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Step 3: Export Search Results<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Once the search is complete, select it from the list and choose\u00a0<strong>Export results<\/strong>.<\/li>\n\n\n\n<li>In the export options:\n<ul class=\"wp-block-list\">\n<li>Under\u00a0<strong>Output options<\/strong>, select\u00a0<strong>All items<\/strong>, including ones that have unrecognized format, are encrypted, or weren&#8217;t indexed for other reasons.<\/li>\n\n\n\n<li>Under\u00a0<strong>Export Exchange content as<\/strong>, choose\u00a0<strong>One PST file for each mailbox\u00a0<\/strong>and can likely leave the default selections. Read them carefully though.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>Start the export process.
